Reporting to the Director of Marketing, Communications & Recruitment, the Administrative Assistant provides confidential administrative support to the Director and the office of Marketing, Communications & Recruitment This role coordinates daily office operations and supports departmental priorities by managing schedules and workflow; preparing correspondence, meeting materials and other documentation; coordinating meetings, events and travel; monitoring budgets and expenses; maintaining electronic files, supplies, equipment and marketing inventory; supporting employee onboarding and leave administration; and coordinating sponsorship, donation and booth-rental requests.
• Office Assistant Certificate; an equivalent combination of education and experience may be considered
• Experience working in an Administrative role in a professional office environment
• Experience coordinating, scheduling meetings and travel arrangements
• Proficiency in using Microsoft Office 365, Zoom, Teams and other virtual communication tools and office technologies
• Experience with financial management responsibilities, including monitoring and tracking budget expenditures
• File management experience
• Ability to manage multiple tasks, adapt to changing priorities, remain flexible and meet deadlines
• Strong organizational and time-management skills
• Effective critical thinking and problem solving skills
• Effective communication and interpersonal skills, including the ability to manage sensitive information
